Terms of Service

1. Acceptance of Terms

By accessing or using SecureSharings ("the Platform"), operated by Tri-Pro Administrators Ltd ("the Company", "we", "us"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, you may not use the Platform.

These Terms apply to all users, including administrators, managers, employees, and external recipients who access shared files or upload documents via file request links.

2. Description of Service

SecureSharings is a multi-tenant, enterprise-grade secure file sharing platform that enables organizations to:

• Upload, encrypt, and share confidential documents with external recipients
• Manage approval workflows for outbound file sharing
• Request and receive files from external parties via secure upload links
• Maintain a complete audit trail of all file-related activities

All files are encrypted using AES-256-GCM encryption and stored in Google Cloud Storage in the European Union (Belgium, europe-west1).

3. Account Registration & Security

3.1 Account Creation

User accounts are created by organization administrators or the platform super administrator. You are responsible for maintaining the confidentiality of your login credentials.

3.2 Password Requirements

Passwords must be at least 10 characters and include uppercase letters, lowercase letters, numbers, and special characters. Common and compromised passwords are blocked.

3.3 Account Lockout

After 5 consecutive failed login attempts, your account will be temporarily locked for 15 minutes to protect against unauthorized access. This is logged in the audit trail.

3.4 Your Responsibilities

• You must not share your login credentials with any third party
• You must immediately notify your administrator of any suspected unauthorized access
• You are responsible for all activities conducted under your account

4. Acceptable Use

You agree NOT to use the Platform to:

• Upload, store, or share any illegal, harmful, or infringing content
• Transmit malware, viruses, or any malicious code (executable file types are blocked)
• Attempt to circumvent security controls, encryption, or access restrictions
• Access or attempt to access data belonging to other organizations
• Use automated tools to scrape, crawl, or extract data from the Platform
• Reverse engineer, decompile, or disassemble any component of the Platform
• Violate any applicable laws, including data protection regulations

We reserve the right to suspend or terminate accounts that violate these terms without prior notice.

5. File Sharing & Approval Workflow

5.1 Shared Folders

Files are organized into folders, which must be approved by a manager or administrator before being shared with external recipients. Modifying an approved folder triggers a re-approval process.

5.2 Download Links

Approved folders generate time-limited download links (1–90 days). Recipients receive links via email and can download files as an encrypted ZIP archive or view them inline, depending on the assigned permission level.

5.3 Permission Levels

• Full Access: Recipients can download files
• View Only: Recipients can view files in-browser but cannot download

6. Data Handling & Encryption

All files uploaded to SecureSharings are immediately encrypted using AES-256-GCM — a military-grade authenticated encryption standard. Each file receives a unique initialization vector (IV) and authentication tag.

Files are decrypted only at the moment of download or inline viewing, and the decrypted content is never stored on disk. The encryption key is managed as a secure environment variable and is never exposed to end users.

7. Intellectual Property

The Platform, including its source code, design, logos, and documentation, is the intellectual property of Tri-Pro Administrators Ltd. You retain full ownership of all files and data you upload to the Platform.

We do not claim any rights to your uploaded content. Your files are encrypted and inaccessible to our staff under normal operating conditions.

8. Service Availability & Limitations

We strive to maintain high availability but do not guarantee uninterrupted service. The Platform may experience downtime for maintenance, updates, or circumstances beyond our control.

We are not liable for any losses resulting from service interruptions, data transmission delays, or third-party service outages (including Google Cloud Platform and Supabase).

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, TRI-PRO ADMINISTRATORS LTD SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR BUSINESS OPPORTUNITIES, ARISING FROM YOUR USE OF THE PLATFORM.

Our total liability for any claim arising from or relating to these Terms shall not exceed the amount you paid to us in the twelve (12) months preceding the claim.

10. Indemnification

You agree to indemnify and hold harmless Tri-Pro Administrators Ltd against any claims, damages, losses, or expenses arising from your use of the Platform, your violation of these Terms, or your violation of any applicable law or third-party rights.

11. Termination

We may suspend or terminate your account at any time for violation of these Terms. Upon termination, your right to use the Platform ceases immediately. Organization administrators may request data export before account closure.

Upon termination, all files associated with your account will be securely deleted from our storage systems within 30 days, unless retention is required by law.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Republic of Mauritius. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Mauritius.

13. Changes to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via email to account administrators. Continued use of the Platform after changes constitutes acceptance of the updated Terms.
